Your Mission

As the Contract Administration Specialist / Contract Manager, you will play a pivotal role in our operations, focusing on the last mile of contract negotiation and ultimately the effective management and administration of key EPC(M) contracts. Reporting through the Procurement (North America) function you will be responsible for vendor management and ensuring the timely contract management of critical equipment and services. Your contributions will directly impact our ability to deliver projects efficiently and within budget, enhancing our competitive edge in the market.

Your Day-to-Day Adventures

  • Execute Contract Management Activities: Oversee the portfolio of contract management activities lifecycle for indirect services and materials, ensuring that key Contractors adhere to contractual requirements, milestones, notices, certificates, and reporting requirements. This responsibility may flex based on business needs but the scope is intended to cover the 1-3 mission critical contracts.
  • Develop and Implement Processes: Assist in the adoption and standardization of contract management processes and procedures to streamline operations and improve efficiency. This includes creating standardized templates, checklists, and guidelines for the contract management team and other stakeholders.
  • Contract Management: Manage late stage RFPs, negotiations, selection and contracting for project needs regarding Indirect material and services. Handle the negotiation and administration of contracts, ensuring compliance with all relevant business laws and company policies. Work closely with the legal department to review and finalize contracts, including complex EPC agreements and subcontractor agreements. Ensure that all contractual terms and conditions align with the company's risk management and compliance requirements.
  • Vendor Relationship Management: Cultivate and maintain strong relationships with key vendors and suppliers. This involves regular communication, performance evaluations, and resolving any issues or disputes that may arise to ensure a smooth and effective supply chain.
  • Project Portfolio Management: Balance the companies contract management needs by focusing on important tasks at hand, aligned with the Project Development team’s priorities. As pipeline projects mature, contract management support will evolve accordingly. Flexibility to balance immediate tasks at hand, while staying aligned with project and company needs is critical.
  • Monitor Delivery Schedules: Track and manage delivery schedules for all procured items, coordinating with vendors and internal project teams to ensure that materials and equipment arrive on time and meet project specifications.
  • Cost Analysis and Negotiation: Conduct thorough market research and analysis to identify cost-saving opportunities and mitigate risks. Negotiate with suppliers to achieve the most favorable terms, balancing cost, quality, and delivery timelines.
  • Continuous Improvement: Identify areas for improvement within the contract management process and implement best practices to enhance efficiency and effectiveness. Stay updated on industry trends and emerging technologies to ensure the company's contract management strategies remain competitive.
  • Reporting and Documentation: Maintain accurate and up-to-date records of all contract management activities, including contract documentation, vendor performance reports, and cost analyses. Prepare regular reports for senior management to provide insights into contract management performance and strategic recommendations. Collaborate with Strategic Sourcing and implement Hydrostor Sourcing procedures.

Who You Are

The ideal candidate for this role is a strategic thinker who can balance the company’s needs while staying focused on details and execution. A strong technical engineering background or a solid understanding of legal principles related to contract management is preferred. You have a proven track record of managing complex contracts and vendor relationships, with a keen awareness of business law and negotiation strategies. You are detail-oriented, an excellent communicator, and thrive in a collaborative environment. Experience with large EPC firms and / or mining contractors is a strong preference.

What You Bring

  • Bachelor's degree in Engineering, Business, Law, or a related field; a technical engineering background is preferred.
  • 5-7 years of experience in contract management or supply chain management, with a focus on contract negotiation and vendor management.
  • Strong knowledge of business law, contracts, and negotiation strategies.
  • Experience working with legal teams to draft, review, and finalize contracts.
  • Demonstrated ability to develop and implement scalable processes and procedures.
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong vendor relationships.
  • Ability to work independently and as part of a team, with a proactive and results-oriented mindset.
  • Familiarity with contract management practices in the energy or heavy equipment industries is a plus.
